Real Estate Assistant
A high-performing Manhattan residential real estate team is seeking an experienced Real Estate Assistant to provide critical operational and administrative support across a fast-paced, high-volume rental and residential sales business. This is an excellent opportunity for someone with real estate experience who thrives in a busy environment, enjoys keeping complex workflows organized, and takes pride in being the dependable person who keeps a successful team running smoothly. This person will be based in the brokerage’s TriBeCa office.
The ideal candidate has prior experience supporting residential real estate professionals, is comfortable managing leases and board packages– they’ll need to jump in right away!– and can quickly anticipate needs without requiring significant direction. This is a long-term opportunity with a collaborative, kind, and supportive team that values initiative, professionalism, and strong execution.
Key Responsibilities
- Manage the day-to-day administrative workflow for a high-volume residential rental and sales portfolio.
- Prepare, review, and process lease packages, board packages, and transaction documentation with exceptional attention to detail.
- Coordinate listing activity, showings, appointments, deadlines, and transaction timelines.
- Track contracts, applications, approvals, and required documentation to ensure smooth closings and lease execution.
- Maintain organized digital files, client records, and transaction databases.
- Communicate professionally with clients, attorneys, management companies, co-op and condo boards, vendors, and internal team members.
- Draft correspondence, prepare documents, and assist with marketing materials and listing updates as needed.
- Anticipate team needs, proactively identify next steps, and ensure priorities stay on track in a fast-moving environment.
- Handle confidential information with discretion while providing exceptional client service throughout each transaction.
Qualifications
- 2+ years of experience supporting a residential real estate team in New York City.
- Demonstrated experience preparing and managing lease packages and co-op/condo board packages.
- Strong understanding of the residential real estate transaction process from listing through closing.
- Highly organized with the ability to manage multiple priorities and deadlines simultaneously.
- Excellent written and verbal communication skills with a polished, professional demeanor.
- Strong attention to detail and commitment to accuracy.
- Proactive, resourceful, and able to anticipate needs in a fast-paced environment.
- Comfortable working independently while supporting a collaborative, high-performing team.
- High level of integrity and discretion when handling confidential information.
- Proficiency with Microsoft Office and common real estate technology platforms.
Compensation & Schedule
- Competitive compensation commensurate with experience & ability to opt into a benefits package
- Full-time position based in Manhattan.
- 8-hour workday in the office, with some flexibility based on seasonal business needs.
up to 100K based on experience.
