Administrative Assistant – Marketing
Our client, a large healthcare organization, is seeking a highly organized and detail-oriented Administrative Assistant to support its Marketing Director and department. This role will provide high-level administrative support while assisting with marketing projects, presentations, reporting, and departmental operations. The ideal candidate is proactive, technically skilled, and comfortable managing competing priorities in a fast-paced professional environment.
Key Responsibilities
- Provide day-to-day administrative support to the Marketing Director and broader department.
- Draft, edit, and prepare professional correspondence, reports, presentations, and other executive-level materials.
- Create and maintain detailed spreadsheets, budget trackers, marketing data, and departmental reports.
- Develop and format presentations and materials using Microsoft PowerPoint.
- Manage calendar scheduling, meetings, travel arrangements, and related logistics.
- Coordinate departmental projects and follow up on deadlines, action items, and deliverables.
- Handle sensitive and confidential information with professionalism and discretion.
- Provide additional administrative and project support for marketing and cross-functional initiatives as needed.
Qualifications
- Previous administrative experience supporting senior-level executives or department leadership.
- Advanced proficiency with Microsoft Excel, Word, and PowerPoint.
- Strong Excel skills with experience creating and maintaining detailed spreadsheets and trackers.
- Excellent written and verbal communication skills, including the ability to draft polished professional correspondence.
- Strong organizational skills and exceptional attention to detail.
- Ability to manage multiple priorities, meet deadlines, and maintain accuracy in a fast-paced environment.
- Proactive and dependable with the ability to work independently and anticipate needs.
- Previous experience supporting a marketing, communications, or related department is preferred.
Compensation & Schedule
- $26–$28/hour
- Ongoing temporary position with potential for permanent conversion
- Monday–Friday, 9:00 AM–5:00 PM, with potential overtime
- Fully onsite in the Bronx, NY
- Successful completion of a background check and drug screening required
