Executive Assistant/Office Manager

Role Overview

A growing office based in Midtown Manhattan is seeking an Executive Assistant / Office Manager to support day-to-day operations and provide high-level administrative support to leadership. This role is ideal for someone who is highly organized, proactive, and comfortable implementing structure and systems within a small, fast-moving office environment. The successful candidate will act as a trusted partner to the executive team, manage office functions, and ensure seamless communication across the business.

Key Responsibilities

  • Establish and maintain office workflows, systems, and organizational tools

  • Manage phones, emails, and daily correspondence with professionalism and discretion

  • Coordinate calendars, appointments, and internal/external meetings

  • Handle office administration including bill pay, expenses, vendors, and supplies

  • Maintain and update professional materials and online profiles for leadership

  • Serve as a point of contact for the office and anticipate operational needs

  • Support daily executive and office functions as the organization grows

Qualifications

  • Experience as an Executive Assistant, Office Manager, or similar support role

  • Highly organized, detail-oriented, and proactive with strong follow-through

  • Comfortable working independently and establishing structure in a growing office

  • Professional, discreet, and trusted with confidential information

  • Bilingual in English and Spanish required

Compensation & Schedule

  • Salary: $100,000–$115,000 annually (DOE)

  • Schedule: Monday–Friday, 9:00 AM – 5:00 PM

  • Onsite role based in Midtown Manhattan

  • Small office environment (5–6 employees)
