Administrative Assistant
Our client, a well-established architecture firm, is looking for an Executive Assistant to support their Chief Operating Officer and Director of Accounting and Finance. This is a great opportunity for a someone to continue to expand in their career as an EA. This role will focus more on project-based work and research versus traditional administrative responsibilities. The ideal candidate has 2-3 years of experience, enjoys the architecture industry, and is looking for their next career challenge.
Job Description:
- Keep Partners licenses up to date.
- Screens incoming calls and correspondence and responds independently when possible.
- Composes and prepares confidential correspondence, reports, and other documents.
- Calendar management; resolving conflicts, accepting and declining on behalf of partners when appropriate.
- Interacts with individuals at all levels of the organization. Independent judgment is required to plan, prioritize, and organize diversified workload.
- Schedules and organizes complex activities such as meetings, travel and conferences.
- Attend meetings and record, transcribe and distribute notes/minutes of meetings.
- Act as general administrative contact for studio staff, be point person for all basic needs for team.
Qualifications:
- 2-3 years of administrative support experience
- Excellent oral and written communication skills
- Strong organizational and time management skills
- Ability to multitask
- Proficiency with Microsoft Office
