Legal Secretary
LEGAL SECRETARY
Our client, a Securities Litigation law firm in mid-town, NYC is looking for a Legal Secretary to perform a variety of duties to assist the attorneys and paralegals including:
- Assisting the settlement department with settlement preparation and day-to-day affairs
- Processing tax payments through the banks
- Keeping orderly banking and payment records using Excel
- Preparation of initial drafts of correspondence, forms, filings and other documents as requested by and under the supervision of the Firm’s attorneys
- Edit and format complex legal documents (motions, complaints, etc.) using Microsoft Word and Nuance PDF editor
- Establish and maintain attorney schedules and calendars
- Organize and coordinate attorney meetings with various parties (client meetings, hearings, depositions, etc.)
- Coordinate travel arrangements for attorneys
- Prepare attorney expense reports and enter billable time, as needed
- Perform typing, photocopying, and filing duties as requested by attorneys and paralegals
- Answer phones, and greet clients and visitors
- Observe confidentiality with regards to all firm business, and exercise discretion and good judgement in all matters
Requirements
- Strong attention to detail and communication skills (verbal and written)
- Extremely proactive and responsible
- Excellent time management and organizational skills
- Notary Public license is a plus
- Ability to organize and prioritize numerous tasks and complete them under time constraints
- Ability to proofread typed material for contextual, grammatical, typographical or spelling errors
- Strong Microsoft Word skills, including the use of styles, the ability to effectively create tables of contents and/or authorities
- Proficient with Microsoft Outlook and Nuance PDF editor
- Familiarity with Microsoft Excel
- The ability to work with a variety of different personalities/attorneys in a group environment
- Comfortable working with numbers and court documents
