Legal Secretary/Legal Administrative Assistant
Our client, a mid-sized law firm in midtown NYC, is looking to hire a legal secretary to perform complex and specialized secretarial and administrative duties related to the Litigation practice group and other assigned attorneys.
Job Responsibilities:
- Provide administrative duties such as: preparing check requests, expense reports, opening new matters, redlining letters, memoranda and other legal documents.
- Prepare, proof and format correspondence, reports, memoranda and other necessary documentation.
- Create and save documents in iManage.
- Prepare documents and packages for mail, messenger and FedEx delivery.
- Assist with client billing and enter attorney time in iTimekeep.
- Maintain files on a regular basis as required by practice group and attorneys.
- Answer telephones and transfer calls.
- Schedule appointments and make arrangements for meetings, conferences and travel.
- Provide back-up support to other legal secretaries as needed.
- Perform other related duties and special projects as assigned.
Specifications:
- A minimum of (3) years of litigation secretarial experience (Commercial and Media litigation is preferred).
- Four-year college degree preferred or equivalent experience.
- Knowledge of State and Federal Court Rules, filings and E-file.
- Proficient in Microsoft Office Suite, iManage, pdf scanning, and timekeeping software.
- Experience with styles, generating TOAs/TOCs.
- Excellent research, proofreading and communication skills, and strong analytical and organizational skills.
- The ability to prioritize and meet the demands of multiple attorney assignments.
