Temp-to-Perm Front Office Admin
Our client, a successful boutique advertising firm, is seeking a temp-to-perm Office Assistant/Receptionist to join the team ASAP. The ideal candidate will be punctual, organized, adaptable, responsible, and have an interest in getting a foot in the door to a marketing/advertising career. This role is ideal for someone who ultimately would like to get into higher level admin support, account management, or project management.
Please note this is a temp-to-perm opportunity with an immediate start date. This role is required in-office full-time, and candidates must be vaccinated against Covid-19 to be considered.
Responsibilities:
- Greeting and announcing office visitors. This requires preparing refreshments, taking coats, answering general questions is required.
- Receiving and forwarding telephone calls to recipients. Maintaining telephone protocol, familiarizing themselves with agency phone list and taking messages as needed.
- Delivery management. Receipt of internal mail (USPS, Fed Ex, UPS, courier, food & catering, etc) and Delivery coordination of outgoing deliveries (USPS, Fed Ex, courier, etc)
- Assisting with catering and event orders - receipt, setup & breakdown. Including monitoring dishwashers and kitchen inventory.
- Maintaining a clean, uncluttered reception area – Including the front counters, the lobby area and kitchen*. Closing the office every day and helping to maintain the desired ambiance on the first floor.
The expectation of an Front Office Admin is that they – ideally, over a period of a few months – prove proficient enough in the above responsibilities to earn additional Operations/Administrative duties which include, but are not limited to:
- Conference Room setup and breakdown
- Expense processing training
- Office supply procurement
- Office supply & pantry inventory
- Library and archive management
- Running errands (as needed)
Pay: $22/hour, converting between 50k-55k DOE + full benefits and 26 days of vacation
