LEGAL PRACTICE ASSISTANT
JOB TITLE: LEGAL PRACTICE ASSISTANT
Global law firm is recruiting for a bright, professional, confident and articulate Practice Assistant/Executive Legal Assistant with 5+ years experience to support one of its Practice Chair Partners. Practice Assistant will work closely with the Firm's Business Development Manager.
This law firm opportunity is a true hi-profile/ gatekeeper position. Strong interpersonal skills are essential to communicate effectively with a diverse group of clients across the globe, attorneys and staff, and to provide information and business/administrative services with courtesy, tact and a high level of professionalism.
Must have the ability to:
- make appropriate judgment decisions for routine responsibilities
- Ability to multi-task, work in a fast-paced, ever-changing environment
- Prioritize and coordinate work and events for the Partner as well as for the Partner’s entire team.
Responsibilities include but are not limited to:
- Provide comprehensive support for senior partner; prioritize and organize essential tasks and streamline operations to the appropriate personnel;
- Meeting preparation – developing agendas and presentations; scheduling meetings internally and externally for a calendar that is changed/updated daily;
- Coordinate with BD Manager to prepare and revise new business presentations; ability to structure and present strategic direction;
- Organize and manage very busy Outlook calendar and extensive contact list;
- Prepare and supervise extensive billing;
- Assist with marketing functions such as pitch packets, bios, etc.
- Coordinate content for weekly Team meetings;
- Coordinate travel arrangements – transportation and accommodations;
- Answer busy phones; front office contact with clients;
- Prepare and submit expense reports;
- Communicate with clients, personnel and colleagues in a professional manner;
- Perform administrative functions such as preparing check requests for vendor statements, reconciling Partner's expenses, and other administrative tasks
- Requirements
- Highly organized and detail oriented;
- Conversant working with numbers, financial statements, projections, RFPs, etc.
- Strong verbal and written communication skills;
- Knowledge of Power Point; Exel;
- This is a full time position with on-call flexibility necessary.
Experience: A minimum of five (5) or more years of executive assistant or law firm experience required. MS Office skills. Bachelor’s degree a plus.
