Temp-to-Perm Executive Assistant to the CEO / Chief of Staff
Our client, a leader in the media and entertainment space, is seeking an Executive Assistant to provide support to their CEO and VP of Finance. The ideal candidate will have at least 3-5 years of executive support experience, interest/experience in the media space, strong attention to detail, an outgoing personality, and a bachelor’s degree. This is a temp-to-perm opportunity with an immediate start date.
Responsibilities:
- Manage the demanding schedule and calendar of the CEO, thinking/planning ahead to ensure prompt/stress-free execution of meetings, travel, pitches, interviews and other mission-critical events
- Thinking ahead with a high level of preparedness and detail orientation (accurate itinerary, directions, and locations, names/titles/background of attendees, prior meeting agenda-setting and confirmation, follow up notes and next steps in a timely manner, organize and submit CEO’s expense reports to finance, etc)
- Proactively manage CEO’s executive relationships, fostering strong, positive relationships with key clients, tracking consistent follow-up and keeping priorities clear
- Prepare facilities for events (with the marketing team), take and organize detailed meetings notes when required, for partners, advisors, and staff at all levels. Organize quarterly team events, as well as several VIP client events.
- Maintain an orderly office space, and manage the upkeep of the facilities (under the direction of the Director of Operations)
- Serve as a resource for employees with general HR questions, with the support of TriNet
- Assist with booking speaking engagements for CEO
Qualifications:
- A sense of urgency with a “can do” / “let’s make it work” attitude and a passion for generating team results
- Resilient, action-oriented, resourceful in nature, and self-managed in a fast-paced environment. Well-honed organizational skills, with the ability to anticipate needs, field issues and proactively develop solutions
- A business manager mindset; an eye on building value, managing/reducing costs, and increasing effectiveness. Excellent follow-through skills and ability to meet deadlines, juggle priorities and apply good professional judgment on a daily basis
- Confidence to build rapport with top-tier executives of high-profile individuals, exhibiting diplomacy and sensitivity to cultural communication differences
- Maintain a high degree of integrity, professionalism, and discretion with regard to confidential information. Display excellent judgment, poise, and professionalism
- High degree of confidence with efficient use of technology (Must have: proficiency in Google Suite, Microsoft Word, Excel, PowerPoint, web conference software, internet research, spreadsheets, database management systems. Bonus if you also have social media skills; Twitter, Linkedin, Facebook, Instagram, YouTube)
- A collaborative professional who can be available 24/7 and be responsible for follow-up and make things happen. Genuine “Team Player” attitude with great people skills for interacting with staff, clients, partners
