Legal Assistant

Our client, a full-service law firm located in Uniondale, New York is seeking a Legal Assistant with 2-4 years of experience in Trusts and Estates.  The Trusts and Estates Legal Assistant provides administrative assistance and secretarial support to assigned attorneys with responsibility for performing a variety of clerical and administrative duties. 

  • Familiar with electronic filing via NYSCEF.
  • Maintain attorney’s daily calendar; independently schedule and re-schedule appointments including calendaring all court dates, conference calls and reminders.
  • Receive, screen, transmit and schedule telephone and conference calls. Assist callers as necessary.
  • Respond to client inquiries regarding routine matters independently; discuss with attorney as necessary.
  • Prepare legal documents and correspondence and coordinate mailing of same
  • Input attorney time records using timesheet software system; consolidate, edit and total time ensuring accuracy of input.
  • Open all mail; review for content and prioritize for review; present and discuss with attorney; respond as directed; act independently on various issues; draft correspondence for review as requested.
  • Initial set up and maintenance of files.
  • Client billing. Familiar with LMSV billing system.
  • Preparation of retainer agreements and opening new matters.
  • Prepare Surrogate Court Forms for probate, administration and other proceedings using HotDocs program. Familiar with procedures for filing same.
  • Arrange for service of legal documents. Preparation of affidavits of service for mailings.
  • Familiar with drafting/editing estate planning documents such as powers of attorney and health care proxies.
  • Responsible for handling original estate planning documents.
  • Assist with preparation and conduct follow up concerning receipt and releases and other accounting documents.
  • Perform due diligence using websites such as ACRIS, Social Security Death Index, Ancestry.com, etc.

  • Four-year college degree preferred but not required.
  • 2-4 years of relevant Trusts and Estate Planning and Estate Administration experience in a law firm, including basic knowledge of standard estate planning documents including wills, healthcare proxies, powers of attorney and trusts.
  • Comfortable with heavy client, attorney, and court contact.
  • Ability to prioritize and manage multiple tasks and projects simultaneously.
  • Ability to work independently as well as interact and function as part of a team to foster smooth efficient processing of workflow.
  • Strong knowledge of attorneys practice, working effectively to complete tasks, prioritize assignments and meet deadlines in attorneys’ absence.
  • Availability to work overtime on an as needed basis.
  • Notary Public a plus.
  •  Must be comfortable with Microsoft Teams.

5 days in office, Uniondale, Long Island.
Competitive salary, an excellent benefits package and a collaborative, friendly environment.
The salary range for this role is $50,000 - $75,000, commensurate with the candidate's qualifications and relevant experience.
