Operations, Sales and Marketing Assistant
Our client, a wholesale jewelry company, is hiring an entry level Operations, Sales and Marketing Assistant to join their NYC office. The position will be in office 5x per week in Midtown Manhattan.
The Operations, Sales and Marketing Assistant position supports the office through effective communication and the streamlining of operations. This is carried out through the following: clerical and customer service responsibilities; assistance to the sales force; generation of creative material to promote brand awareness and consistency; and the development and distribution of items in production.
1) Production Operations/Customer Service
- Daily order invoicing and shipping, placing, and tracking.
- Communicate with production and sales departments for status inquiries from customers.
- Receiving, logging, and distributing packages to employees daily.
- Following up with Production about special orders, repairs, and coordinating orders.
- Coordinate credit application processing for new retail accounts.
- Manage and respond to website inquiries and leads on wholesale and consumer levels.
- Filing invoices and memorandums accordingly.
- Answering phone calls and emails for general customer product inquiry. Resolve customer issues.
- Cultivate and maintain constructive and effective relationships with retail clients.
- Greet Visitors.
2) Marketing and Sales Support
a) Sales Support
- Processing and transferring salesman lines from HQ to shows and events.
- Processing and transferring product and promotional materials needed for permanent salesman line as well as items requested by sales representatives to customers.
- Generating, distributing, and processing orders given by salesman and customers.
- Following up with the customers and sales reps for memo (consignment) retrieval and billing purposes on a monthly and as needed basis.
- Create and maintain collection line sheets, packages, programs and price lists for sales force and customers.
- Maintain online sales portal and third-party sales and inventory tools for sales force use.
- Taking general sales and memo (consignment) orders with customers via phone and email.
- Give customers estimates on anything that doesn’t have to be made.
- Relaying relevant customer requests and information from HQ to sales force.
b) Social Media: Please note that social media posting, and upkeep is a shared responsibility. Continuing to drive efforts to expand social network and online presence through social media (i.e., Facebook, Twitter, LinkedIn, Google+, Instagram and Pinterest) through the following:
- Creating relevant and seasonal social media advertisements and banners
- Researching content—fashion shows, celebrity birthdays, planning calendars, fashion events
- Creating (taking) and editing photos for promotional purposes
- Creating and editing pictures—resizing, editing, etc.
- Reaching out to customers through various outlets through engaging daily posts (approx. 3 posts with new content every day including weekends and holidays). Engaging with comments, likes, questions, messages, etc.
c) Website Maintenance:
- Updating website to include newly photographed items and product description.
- Editing all website materials—specifically educational and historical materials.
Skills and Qualifications
- 1 year of professional experience or relevant internships in administrative support, operations, customer service, or production.
- High proficiency in Microsoft Office Suite (Excel, PowerPoint focused).
- Experience in website maintenance
- Excellent communication skills, both oral and written.
- Problem-solver with ability to diffuse high-tension situations comfortably.
- Experience in retail/fine jewelry industry preferred.
