Project Coordinator
Our client in the theater technology space is seeking a Project Coordinator to join their team. The ideal candidate will have a background and understanding of theater verbiage, 2+ years of operations experience (Stage Management, Office Coordination, Office Management), and is open to traveling to regional theaters across the US and Canada a few times each year.
Please note this is a full-time, hybrid position (2 days in-office per week) with an ASAP start date. This opportunity will pay $50k annually.
ROLE AND RESPONSIBILITIES
We are searching for a driven Project Coordinator and customer relationship representative to join our team. They will need to have a clear understanding of the components of the GalaPro App & I-Caption assistive products. Your responsibilities will include establishing inputting tour and regional show schedules in a CMS system, creating caption scripts, and automating them to productions in NYC, basic app/IT troubleshooting, and training house management and front of house staff on app features.
To be a successful Project Coordinator, you should be organized, detail-oriented, and be able to develop an excellent rapport with your existing customers. A top-notch Project Coordinator should be knowledgeable about technical theatre, have general knowledge about computer technology, and should have the ability to break down technical terminology to non-technical clients.
- Creating caption scripts and automating to productions
- Working with regional and touring theatre venues on supplying accessibility service via the GalaPro App.
- Training front of house staff on GalaPro and I-Caption systems.
- Following up with customers and resolving any issues that may arise.
- Tracking tours’ venues and reviewing client requests for services.
- Oversee the GalaPro system, including testing and monitoring activity through the GalaPro software portal.
- Keep track of productions utilizing the services and transfer to accounting when billable.
- Onboarding GalaPro content to touring and regional theatres.
- Work with onsite technicians to implement & troubleshoot GalaPro & I-Caption systems.
QUALIFICATIONS AND EDUCATION REQUIREMENTS
- A minimum of 2 years of operations experience.
- Strong time-management and people skills, flexibility, and multitasking ability.
- Basic computer skills.
- Proficiency in Microsoft Office, with aptitude to learn new software and systems.

- Bachelor’s degree or equivalent
