Executive Assistant

Our client, a successful e-commerce and retail company, is looking for a Contract Executive Assistant to support the GM of Conversational Commerce from December ’22 through May ’23, with potential to extend. In this role, responsibilities will include scheduling, calendar management, travel arrangements, expense management, meeting preparation and keeping the team organized! This is a great opportunity to showcase strategic and analytical thinking abilities. This is a position for someone who thrives in a fast-paced environment and has exceptional organizational skills.

 

Please note this is a hybrid position (2 days per week in-office) based out of their NYC workspace. This opportunity will pay $45-$55/hour depending on experience.

 

What you will Do:

  • Provide organizational & administrative support for GM and limited members of the leadership team including schedule internal/external meetings and appointments, manage calendar conflicts, coordinate conference calls
  • Coordinate travel logistics including flight itineraries, hotel reservations and car services.
  • Organize agendas, manage calendars, and plan events while prioritizing competing demands
  • Track expenses and prepare expense reports
  • Coordinate and plan meetings, including team wide meetings; catering (if needed), agendas, scheduling materials preparation
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion.
  • Perform general admin duties such as recording meeting minutes (if required), data entry, filing, copying, faxing, mailings, etc.
  • Prioritize and lead multiple projects at a time, keeping diligent track of project timelines and deadlines.
  • Maintain diligent communication across the team

 

What You’ll Need

  • Bachelor’s degree
  • 2-4 years of experience as a previous administrative assistant
  • Superb communication: Ability to provide clear and concise oral and written communication
  • Stellar time-management skills and the ability to organize and coordinate multiple projects at once.
  • A large degree of comfort with and interest in technology. Proficiency in Microsoft Office (Word, PPT, Excel), Outlook, Zoom, Confluence, and with an aptitude to learn new software and systems.
  • Proactive approach, with the ability to identify upcoming issues, plan ahead and propose solutions.
  • Success in an entrepreneurial environment and ability to manage and execute multiple priorities at a fast-paced company while operating independently through ambiguity with minimal supervision
  • Willingness to roll up your sleeves and do what’s necessary
